Terms and Conditions of Participation for SCOPE MATHE
at Julius Maximilian University of Würzburg

1.    Scope of application

These terms and conditions apply to participation in the SCOPE MATHE event (Synergies and Connections from the Future in STEM Education from a Mathematical [modelling] Perspective) from 22 September 2026 to 25 September 2026.

2.    Registration and conclusion of contract

2.1  Registration is carried out via the conference management tool "Conftool" (access via the homepage) and becomes legally binding upon receipt by the Chair of Mathematics V. By registering, you accept these terms and conditions of participation. Once your registration has been processed, you will receive a confirmation email with information on how to pay the participation fees. The contract is con-cluded upon receipt of the confirmation of registration. If a registration cannot be accepted, the Chair of Mathematics V will notify the applicant.
2.1 The amount of the participation fee is specified in the event description. This and the method of payment will also be communicated to you with the confirmation of registration. 
2.3 The number of possible participants is usually limited. Registrations are generally considered in the order in which they are received.

3.    Participation fee and inability to attend

3.1 A participation fee is charged for participation in the event. Participants who do not submit a scientific contribution pay the regular conference fee. Participants who submit a contribution are charged a reduced conference fee, as the submission already covers part of the event organisation costs.
3.2 Cancellations can only be made in writing by email to the Chair of Mathematics V. For cancellations up to 90 calendar days before the start of the event, a cancellation fee of 50% of the participation fee will be charged. In the event of later cancellation or unexcused absence from the event, the full participation fee (100%) must be paid. Unexcused nonparticipation does not constitute withdrawal within the meaning of this regulation. 
3.3 The fees due in connection with the submission of a contribution ("pre-registration") are payable in full (100%) even if the contributor fails to register, cancels the registration or withdraws the contribution. 

4.    Confirmation of participation 

A confirmation of participation will be issued electronically after the end of the event and can be accessed via the conference management tool "Conftool" (accessible via the homepage).

5.    Cancellation of the course and programme changes 

5.1 The Chair of Mathematics V is entitled to postpone or cancel the event for good cause, in particular if the minimum number of participants is not reached. In the event of a postponement, registrations will automatically be transferred to the new event date. In this case, participants have the right to withdraw from the contract free of charge within 14 days of the announcement of the new date; any participation fees already paid will be refunded in this case. This must be declared by email to the Chair of Mathematics V at oc@scopemath.org. You will be informed immediately of any postponement or cancellation. In the event of a final cancellation of the event by the Chair of Mathematics V, or if you exercise your right of withdrawal, the participation fee already paid will be refunded.
5.2 There is no legal entitlement to the event being held. 
5.3 The Chair of Mathematics V reserves the right to make changes to the programme. In justified cases, the Chair of Mathematics V is entitled to have the course taught by lecturers other than those specified.


6.    Photography and filming 

6.1 The Chair of Mathematics V may take photographs and/or make film recordings during the event for public relations purposes. The recordings will be used exclusively for the purpose of reporting on events that have taken place on the website of the Chair of Mathematics V and the website of the Press Office of the University of Würzburg, as well as for announcing future events of the Chair of Mathematics V. For this purpose, the image and film material may be distributed and made publicly available in physical form, e.g. on flyers, as well as in non-physical form, e.g. on the website or by email. 
6.2 By registering for the event, you agree to the recording and use of the recordings, including those of yourself. 
6.3 If you do not wish to be photographed or filmed, please notify us when registering for the event. In this case, the Chair of Mathematics V will ensure that no recordings are made of you.


7.    Liability

The liability of the Chair of Mathematics V is limited to intent and gross negligence. This limitation of liability does not apply to damages resulting from injury to life, limb or health. The Chair of Mathematics V accepts no liability for financial loss or damage to property, in particular for the loss of property occurring during the event.


8.    Right of withdrawal

Consumers have a statutory right of withdrawal in the case of distance contracts (contracts in which the entrepreneur or a person acting on his behalf or on his behalf and the consumer use exclusively means of distance communication for the contract negotiations and the conclusion of the contract). A consumer within the meaning of Section 13 of the German Civil Code (BGB) is any natural person who enters into a legal transaction for purposes that are predominantly neither commercial nor self-employed.


Cancellation policy

Right of withdrawal

You have the right to withdraw from this contract within 14 days without giving any reason.


Cancellation period

The withdrawal period for services (seminars, events and webinars) is 14 days from the date of conclusion of the contract.

by means of a clear statement (e.g. a letter sent by post or an email) of your decision to withdraw from this contract. You can use the attached sample withdrawal form, but this is not mandatory.
To meet the cancellation deadline, it is sufficient for you to send your notification of exercising your right of cancellation before the cancellation period expires.
 

 

Consequences of withdrawal

If you withdraw from this contract, we shall reimburse you for all payments we have received from you without delay and at the latest within 14 days of the day on which we receive notification of your withdraw-al from this contract. We will use the same means of payment for this repayment as you used for the original transaction, unless expressly agreed otherwise with you. In no event will you be charged for this re-payment. If we have already commenced the service at your request during the withdrawal period, you shall pay us a reasonable amount corresponding to the proportion of the services (seminars, events and webinars) already provided up to the point in time at which you inform us of the exercise of the right of withdrawal with regard to this contract, compared to the total scope of the services provided for in the contract.

9.    Final provisions

9.1 In the event that individual clauses are invalid, the validity of the remaining clauses shall remain unaffected.
9.2 In case of any discrepancies or ambiguities between the German and English versions of these Terms and Conditions, the German version shall prevail.
9.3 Ancillary agreements must be made in writing to be valid.
9.4 German law shall apply to all disputes arising from this contract. 
9.5 For contracts with merchants, legal entities under public law or special funds under public law, the exclusive place of jurisdiction is Würzburg. In all other respects, the statutory provisions on the place of jurisdiction shall apply. 

 

II.    

Declaration of consent to data protection, notification pursuant to Art. 13 GDPR

  1. Data processing and data transfer
    The personal data collected from you will be processed and stored by the Chair of Mathematics V at Julius Maximilian University of Würzburg exclusively for the purposes of registration, implementation and issuance of the certificate of participation for the event, as well as for information about future events of the Chair of Mathematics V. Your data will also be used for internal evaluation purposes, but without reference to your person. Your title, surname, first name and company affiliation will be transferred to the respective speaker. No further data will be transferred to third parties.
  1. Legal basis
    The legal basis for processing is Art. 6 (1a) GDPR.
  1. Voluntary nature and revocation
    The provision of personal data is voluntary. Consent may be refused without giving reasons or revoked with effect for the future. In such cases, your data will be deleted and participation will not be possible or will no longer be possible.
  1. Duration of storage of personal data
    For the purpose of providing a duplicate proof of participation in the event, if necessary, the data will be stored for a maximum of two years and then deleted. You may request information at any time about the data processed about you and the possible recipients to whom this data has been transferred. You are entitled to a response within one month of receipt of the request for information. In addition, you have the right to request the correction of your data or the restriction of its processing at any time.
  2. Transfer of data
    Data will not be transferred to third parties, third countries or international organisations.
  3. You can view your other rights under the GDPR, in particular your right to information, correction and deletion in accordance with Articles 15–21 of the GDPR, here.
